EasyKafe Terms & Conditions
Effective date: August 25, 2025
1. Accepting These Terms
By creating a workspace, inviting team members, or accessing EasyKafe Mobile, you agree to the latest version of these Terms of Service and our Privacy Policy. If you use EasyKafe on behalf of a business, you represent that you are authorized to bind that business. If you do not agree, discontinue use immediately.
2. Definitions
- EasyKafe: EasyKafe, Inc., the provider of the cafe operations platform and related mobile apps.
- Services: All EasyKafe websites, APIs, mobile apps, and related support offerings.
- Workspace: A cafe or organization account created inside EasyKafe.
- Members: Staff invited to a workspace, including admins, managers, and waiters.
3. Accounts & Eligibility
Workspaces must provide accurate identity and billing information. Members must be at least 18 years old (or the age of majority in their jurisdiction). EasyKafe may suspend or terminate access if information is false or if activity violates these Terms. You are responsible for actions taken under your credentials.
4. Acceptable Use
When using EasyKafe you must:
- Provide accurate information when creating a workspace or joining a cafe.
- Maintain the confidentiality of login credentials and join codes.
- Ensure you have the authority to bind your organization to these Terms.
- Use the Services only for lawful cafe/restaurant operations and in accordance with our documentation.
You may not:
- Reverse engineer, decompile, or attempt to extract source code except as permitted by law.
- Circumvent security features or attempt unauthorized access to other workspaces.
- Submit malware, automated scraping, or excessive traffic that degrades the Services.
- Use the Services to process payment data that you are not authorized to collect.
5. Subscription & Payments
Paid plans are billed according to the pricing shown in-app or in your order form. Fees are non-refundable except where required by law. You authorize EasyKafe (or its payment processor) to charge you for recurring subscriptions until you cancel. Downgrades and cancellations take effect at the end of the current billing period unless otherwise stated in a master service agreement.
6. Intellectual Property
EasyKafe retains all rights, title, and interest in the Services, including software, trademarks, and documentation. You grant EasyKafe a limited license to use content you submit only to operate and improve the Services. Feedback or suggestions may be used without restriction or obligation to you.
7. Confidentiality & Data
Each party agrees to protect the other's confidential information using reasonable safeguards. We process personal data as described in the Privacy Policy and act as a service provider to your workspace. You are responsible for obtaining any required consents from staff or customers before storing their information in EasyKafe.
8. Support & Availability
We provide the following baseline support for all plans:
- Email support via [email protected] for critical issues and bug reports.
- Status updates posted on our dashboard or email notifications for major incidents.
- Reasonable efforts to respond within two business days (faster for premium plans).
- Full cooperation when debugging issues that require temporary diagnostic access.
While we target 99.5% uptime, the Services may be unavailable during maintenance windows, beta releases, or factors outside our control. We are not liable for delays caused by internet providers or third-party platforms.
9. Termination
You can terminate your workspace at any time from the billing settings or by contacting support. EasyKafe may suspend or terminate access for material breaches, unpaid invoices, or legal compliance. Upon termination, your right to access the Services ends, but sections relating to payments, confidentiality, intellectual property, disclaimers, limitations of liability, and dispute resolution survive.
10. Disclaimers
The Services are provided “as is” and “as available.” To the fullest extent permitted by law, EasyKafe disclaims all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement. We do not guarantee uninterrupted service or that errors will be corrected immediately.
11. Limitation of Liability
To the extent allowed by law, EasyKafe's total liability for any claim arising out of these Terms or the Services is limited to the fees paid by your workspace in the twelve months preceding the claim. EasyKafe is not liable for indirect, consequential, exemplary, or incidental damages (including lost profits or revenue).
12. Governing Law & Disputes
These Terms are governed by the laws of the jurisdiction listed on your order form or, if none, the State of Delaware, USA, excluding conflict-of-law principles. Disputes will be resolved in the courts located in that jurisdiction. You agree to waive class actions and jury trials to the extent permitted by law.
13. Changes to These Terms
We may update these Terms to reflect product, legal, or operational changes. We will provide notice via email or in-product messaging at least 15 days before changes take effect. Continued use after the effective date constitutes acceptance of the updated Terms.
